Senior Director of School Operations and Student Support

Description:

The Senior Director of School Operations and Student Support works with the Chief Operating Officer on district enrollment projections, portfolio planning, implementation of the district's capital plan, and quality service to school sites that have clear metrics for success across all operational divisions. The individual will provide analytical and communications support to ensure the district is planning for both the short and long term, and effectively communicating internally and with external stakeholders. In addition, the Senior Director will work with the Deputy Superintendent and Chief Operating Officers on emergent issues and initiatives, bringing an operational and financial lens to problem-solving and decision-making.

We serve approximately 22,000 students at 37 elementary, middle, and high schools. Approximately 55% of students come from homes where English is not the primary language spoken. Combined, our students and families speak 55 different languages and hail from 91 countries of origin.

EDUCATION REQUIREMENTS:

  • Bachelor's degree required, Master's degree preferred
MINIMUM QUALIFICATION STANDARDS:
  • Strong ability to manage multiple projects and deliverables and navigate through a certain level of ambiguity
  • Sound planning, collaboration and resource management skills
  • Strong teamwork and interpersonal skills
  • Strong verbal and written communication skills, including presentation skills
  • Self-starter who requires a minimum level of supervisory oversight
  • Willingness to travel and work evenings and weekends
  • Demonstrated commitment to urban K-12 education
DESCRIPTION OF DUTIES & RESPONSIBILITES:

Enrollment and Capacity Planning
  • Provide reliable, consistent, and accurate short and long-term enrollment projections for the district.
  • Works closely with the Skyward, Data, Teaching & Learning, Student Supports, and Guidance teams to effectively develop capacities in addition to enrollment projections.
  • Collaborates with the Registration Office to ensure that enrollment and capacity projections are used to support the efficient assignment of students.
  • Supports the ongoing monitoring of enrollment to identify any schools or grades with high or low utilization.
  • Supports registration with the district's annual lottery process, and conducts analysis on school choice.
  • Supports the Finance department with utilizing enrollment projections for revenue projections as well as the implementation of Student-Based Budgeting.
  • Provides recommendations to Senior Leadership Team members on key decisions related to enrollment and capacity projections (e.g., where to add/reduce capacity, program placements).
Portfolio, Facilities and Capital Planning
  • Provides data and recommendations related to district portfolio planning based on enrollment projections and district capital planning.
  • Uses long-term enrollment projections to inform effective capital planning.
  • Supports the Deputy Superintendent and Chief Operating Officer in the project management of and development of presentations and communication materials related to the district's capital and portfolio planning.
Lead Coordination Across Departments and Tools/Systems Building
  • Cross-Divisional Coordination & Capacity Building
    • Lead and facilitate collaboration across Operations, Finance, Student Support, and Academic divisions to strengthen districtwide systems and services.
    • Establish principal and departmental feedback structures to inform progress improvement strategies that align to district mission, vision and strategic plan.
    • Build capacity of central office and school-based staff through clear processes, training, and tools that promote consistency, sustainability, and shared accountability, while regularly analyzing the return on investment of these efforts to ensure resources are being used effectively and strategically.
  • Systems Development & Data Infrastructure
    • Design, implement, and monitor systems that allow for efficient cross-divisional collaboration, ensuring that decisions and processes are consistently aligned with the district's strategic mission and vision, and holding teams accountable to agreed-upon values and standards.
    • Develop dashboards, workflow models, and data structures that enable departments and school leaders to track progress, align resources, and make informed decisions based on reliable and timely information
  • Continuous Improvement & Collaboration Structures
    • Establish structures for continuous improvement across operations and finance departments, leveraging feedback, root cause analysis, and promising practices to improve customer service and operational effectiveness.
    • Create opportunities for cross-functional teams to problem-solve, identify gaps, and build durable systems that improve outcomes for schools and students.
    • Leads tracking and monitoring of key performance indicators in the Turnaround Action Plan for operations departments.
    • Provides project management, analytical, and communications support for key operations and finance initiatives, including,
    • Distributing and analyzing principal feedback surveys
    • Supporting the implementing of Lets Talk and other customer service platforms across operations teams
    • Developing dashboards and tools related to on-time-performance of district transportation
    • Automating paper-based processes (e.g., hardship request process)
    • Ensure major initiatives are scope with clear milestones, deliverables, decision points and accountability structures.
  • Develops tools and resources for Operations and Finance departments and school leaders to improve the efficiency and effectiveness of key operational processes.
  • Supports the effective use of data for Operations and Finance departments and school leaders.
